The different user roles #
Each user in your workspace has a specific role: Map Gallery User, Map Creator or Administrator.
Map Gallery User #
Map gallery users can view maps and data they were granted permission to view.
Map gallery users can only access the Map Gallery and the Data Gallery. They are not able to edit maps. They can edit data online (see our dedicated article) when they have been granted edit permission on a layer.
Map gallery users are part of the All Users group: .
Map Creator #
Map creators can view or edit maps and data they were granted permission to view or edit. They can also create new maps, and add new layers and data tables.
They have access to the Map Gallery and Data Gallery. They can change the permissions for a map or data they have edit permission for.
Map creators users are part of the All Users group, and the Map Creator group:

Administrators #
Administrators have edit permission on all objects available on the platform. They can also create new maps, and add new layers and data tables. In addition, they can manage users, groups and their permissions roles, as well as get statistics on the actions performed by each user in the Usage Statistics tab.
Users and groups #
To manage users and groups as an administrator, visit the Users page. On this page, you can invite new users, edit existing users, add new groups and edit existing groups.

Invite new users, edit and delete existing users #
Here is what you can do on the Users page:
- Invite a new user: to invite a new user, you will need to enter their name, first name, email address and role. You can also add them to an existing group.

- Edit an existing user:
- Change the first name, last name and email information
- Reset the password: this will send a new email to the user allowing him to reset their password
- Change the role
- Disable or enable this user: disabled users can no longer log in.
- Add the user to a Group
- Add notes about this user

- Delete an existing user: click on the “…” menu of a User’s detail panel to delete this user.

At the bottom of the User’s detail panel, you will see additional information:
- Failed logins: the number of times this user entered a wrong password. Accounts are automatically disabled after 5 failed attempts.
- Last visit: the last time this user visited this workspace
- Last login: the last time this user entered his password to visit this workspace. The two dates can differ due to caching and cookies: the login information is cached by the browser, allowing the user to access the workspace without having to manually log in.
- Created on: date of user creation
- Last modified: date of the last modification by an administrator.
Create new groups, edit and delete existing groups #
Groups allow you to manage multiple users at the same time. Each user can belong to multiple groups.
Groups also have a role and users will benefit from the highest role they or their groups may have: when a Map Gallery User is added to a Map Creator Group, this user will inherit the Map Creator capabilities.
Click on in the Users page to manage groups. Here is what you can do on the Groups page:
- Create a new group: to create a new group, you will simply need a name. You can also add a description and start to add users.

- Add users to this group

- Delete an existing group: click on the “…” menu of a Group’s detail panel to delete this group.
